TERMS & CONDITIONS

1. Payment Terms

A non-refundable deposit of €500 is required to secure your place at the retreat.

The remaining balance is due in full one (1) month prior to the retreat start date, unless otherwise agreed upon in writing (for example, a payment plan).

For payment plans, a minimum of 60% of the total retreat cost must be paid no later than one (1) week before arrival.

Failure to complete payment by the due date may result in forfeiture of your reservation and deposit.

2. Cancellation Policy

The €500 deposit is strictly non-refundable — no exceptions.

Cancellations made 6 weeks or more before the retreat start date will receive a refund of all payments made, except the deposit.

Cancellations made between 4 and 6 weeks before the retreat start date will receive a 50% refund.

Cancellations made less than 4 weeks before the retreat start date are non-refundable and the full balance remains due.

Due to non-recoverable payments that we must make in advance to secure the retreat, exceptions to our policies cannot be made for any reason, including (but not limited to) natural disasters, bad weather, acts of terrorism, illness, pandemics, health conditions, medical, personal, family or work emergencies, or a change of mind.
If you cannot reach the retreat due to unforeseen circumstances such as (but not limited to) strikes, weather disruptions, or missed, delayed, or canceled flights, retreat fees remain non-refundable. If you arrive late or must leave the retreat early, no refund will be provided for the unused portion of your stay.

3. Travel & Health Insurance
While no one books a retreat intending to cancel, unexpected events can occur. We highly recommend purchasing travel insurance that covers cancellations of any kind.
You participate in all classes, workshops, hikes, and excursions at your own risk, and you must use your judgment regarding which activities are appropriate for your level of physical fitness, experience, and emotional stability.
If you are traveling internationally, you are required to have health insurance that covers medical care and emergency transport home if necessary.
Please note: Even tho Karla is a trained therapist, our staff is not. This retreat is meant for relaxation and reflection, not psychological aid. If you have any mental health conditions or are taking medication, you must inform us beforehand so we can determine together whether participation is safe for you and for the group.
4. In Case We Must Cancel
We always strive to promote each retreat effectively and manage logistics (venue, catering, team, and activities) to ensure everything runs smoothly. However, unforeseen circumstances may arise.
Please note that Sound of Kala cannot be held accountable for any expenses incurred in preparation for the retreat, such as flights, accommodation, loss of work, visa fees, or other associated costs.
If we are unable to host the retreat and must cancel, we will notify you as soon as possible, refund 100% of your payments.
However, we are not accountable for your expenses incurred in preparation for the retreat, such as airline tickets, loss of work, visa fees and/or other costs associated with preparation for your trip.
5. Photography & Media
Photographs and videos may be taken during the retreat. This content may be used for future marketing, promotions, and online publications. If you prefer not to be photographed, please let us know in advance, and your preference will be fully respected.
This retreat is not a place for any kind of promotion of products, brands or services. Any content creation with a commercial background is not allowed without approval of Sound of Kala and hotel management. Phones during practices/yoga/meditation are not allowed. Please respect the privacy of other guests and do not photograph any other guests unless they have given consent. Please be mindful of other participants and make sure not to disturb anyone with phone/camera usage. Thank you!
6. Our Rights

Sound of Kala reserves the right to remove a participant from the retreat if their behavior is disruptive to the group or environment; no refunds will be issued.

Sound of Kala reserves the right to hold a guest financially liable for damages caused to the property, natural surroundings, or belongings of others.

Sound of Kala reserves the right to change the program, teachers, or team members at any time without prior notice.
